Welcome to the Flow documentation.
## Overview
Flow is your intelligent productivity assistant.
Your combined executive assistant, daily planner, and defense against distracting emails.
Every detail in Flow is meticulously crafted to protect your focus.
Before we get into the details, let's explain who Flow is for and who it's not.
Flow is designed for already productive knowledge workers who are wasting their most valuable resource, time, on \$20/hour tasks.
Tasks like email and calendar management, and organizing their priorities.
Mindless work, they suspect AI is well-suited to handle, so that they can focus on their higher-impact priorities.
Flow is for people who take their productivity seriously and are looking for a better system for filtering out distracting emails, labelling the actionable ones, briefing them a few times a day with summary digests, and organizing their tasks and calendar together.
They likely already practice calendar time-blocking to protect their deep work.
That said, they've hit the point of diminishing returns on their investment into efficiency (they're already organized people) and are now more focused on their effectiveness (prioritizing the right things in the right order to maximize results).
They need fewer distractions and better prioritization and delegation workflows.
Their current personal productivity stack isn't designed for effectiveness, or they've cobbled together multiple tools that don't properly integrate and collectively cost more than they should.

If not, we'd recommend getting started with Todoist, Things, or the other beautifully designed personal task management tools to become more organized.
While Flow does task management, these other tools will be more affordable to get started on. We'll be here waiting for you when we're a better fit.
Now that you have a better sense of whether Flow is right for you, let's get back into the details.
## Flow has three modules designed to maximize your flow state
Flow's modules are Intelligent Inbox, Planner, and Assistant.
Each of these modules has a section in the Settings to manage your personal preferences.
On the left of the image above, you'll see which features are helping to filter the incoming chaos in your email inbox and on the right, which ones are helping you get into and stay in flow state.
Our goal isn't to have the most features; it's to have the most intelligence within each feature, so Flow feels like magic out of the box.

# Auto labels

Automated triage, organization, and prioritzation of your emails
## Overview
Auto labels will triage your incoming and ongoing emails and automatically apply labels in Gmail and Outlook based on the person, content, and context.
Flow’s goal is to defend you against distracting emails so you can focus on what’s important and actionable.
Think of it as the gatekeeper between you and the chaos of everything in your inbox. Separating the signal from the noise.
An example of the labels Flow will create in Gmail and Outlook:
Unlike other email management tools, which only consider whether the person who’s sending the email is important to you, Flow also considers the content (words that sound urgent) and context (about a meeting today) to decide whether to interrupt your focus.
Also, because Flow applies native Gmail and Outlook labels, you can take full advantage of these labels in your Gmail, Outlook, or other email clients like Superhuman.
## Using auto labels in Gmail or Superhuman
Here’s how I’ve used Gmail’s multiple Inbox feature to set up my inbox:
### Search Queries for Gmail Multiple Inboxes:

Gmail will then automatically organize your inbox into these sections.
### Search Queries for Superhuman Split Inboxes:

Superhuman will then automatically organize your emails into these split inboxes.
### Hide Gmail Labels from IMAP (and therefore from Superhuman)
1. Go to Gmail (web)
2. Open [gmail.com](http://gmail.com) in your browser.
3. Click the gear icon → “See all settings”
1. Navigate to the Labels tab.
2. You’ll see a list of all your labels, with two columns:
1. Show in label list
2. Show in IMAP
3. Uncheck “Show in IMAP” for any label you don't want to appear in Superhuman.
Superhuman reads Gmail labels through IMAP. Hiding them from IMAP removes them from view in Superhuman, but they’ll still exist in Gmail if you want to access them there.

# Briefings

3x per day summary of your new emails
## Overview
Flow will let through the important emails directly into your inbox and provide you with briefings a few times a day of the non-important emails.
The purpose of briefings is to allow you to batch process your new emails.
The briefings page guides you through a summary, allows you to provide feedback, and take action on the suggested tasks and events generated from the content.
You can train Flow to remember who is a VIP (always important), who you don’t want to hear from again (always junk), or where Flow got the content type wrong (e.g., you consider something to be a notification rather than marketing).
Here’s how it looks:
When viewing an email, Flow will also provide a short AI summary, along with suggested tasks and events based on the email's content.
You’ll also receive an email notification to your primary account letting you know that your briefing is ready. This will follow your Settings > Inbox > Briefing schedule.
Unlike other email management tools, Flow provides a unified briefing across all your email accounts, rather than making you go through each account one by one.
Some users aren’t comfortable with having Flow automatically archive their non-important emails until the briefing, so we have an option in the Settings > Inbox > Intelligent inbox, where you can toggle off “Archive non-important”. When this is off, all emails will come through to your inbox as normal, but with the benefit of the AI Labels.

# Email management

Lightweight email client
## Overview
Flow is a lightweight (i.e., not a full replacement) email client for reviewing, replying to, and composing emails.
We don’t yet recommend Flow as a full replacement for Gmail, Outlook, Superhuman, or your other email clients; however, some customers have chosen to use it as their primary email client.
We'll get closer to a full email client with a major improvement in Q4 2025; however, even with that improvement, we’ll still only have the core functionality of an email client and not a complete replacement.
Our hope is that Intelligent Inbox will provide sufficient value through briefings, suggestions, AI Drafts (coming soon), and AI labels, enabling Flow to meet most of your email needs.

Use Flow on the go
## Overview
Flow is a Progressive Web App (PWA), meaning you can bookmark it on your mobile device, allowing you to access it quickly with an and icon, just like a native mobile app.
Flow is mobile-responsive, meaning that the layout and UI are optimized for mobile devices.
It supports all actions you can take on the desktop, except for chat. Chat will be available on mobile at the end of Q4 2025, once our upgrade to the Chat UI and intelligence is complete.

Privacy and data security
## Overview
We know that trust is the foundation of Flow. Your data, emails, and tasks are highly sensitive, and protecting them is one of our top priorities.
Flow is [**CASA Tier 2**](https://appdefensealliance.dev/casa) certified, which means it has been independently reviewed and certified for meeting industry-leading standards in security and compliance.

### How we keep your data safe:
* **Encryption at rest and in transit** – All data is encrypted using TLS 1.2+ during transfer and strong AES-256 encryption when stored.
* **Zero data resale** – Your data is never sold, shared, or used for advertising. Flow only processes data to provide you with your assistant experience.
* **OAuth-based authentication** – We use Google and Microsoft’s secure OAuth 2.0 protocols for connecting your accounts, so Flow never sees or stores your passwords.
* **Minimum permissions** – Flow requests the minimum necessary permissions to function. You stay in control of what accounts are connected.
* **Independent annual audits** – CASA certification means Flow undergoes independent security and compliance audits to ensure ongoing adherence to best practices.
### Your privacy, your control
At any time, you can disconnect your accounts from Flow in **Settings**. This instantly revokes Flow’s access. You also have full control over the data stored in your account and can request its deletion at any time by emailing us at [hello@enterflow.co](mailto:hello@enterflow.co).
We believe security should be invisible but uncompromising.

## Get started in three steps
Connect your accounts, set your preferences, and activate your Intelligent Inbox.
### Step 1: Connect your Google and Outlook accounts
**Connect your primary email account**
The email account (either Google or Outlook) that you use to subscribe to Flow on Stripe becomes your primary.
We recommend that you use your personal Google or Outlook account as your primary, so that if you change jobs, it's easy to disconnect your old work email and connect your new work email as a secondary account.
You only pay for your primary account and can have as many secondary accounts as you'd like at no additional cost.
**Connect your secondary email accounts**
To add secondary accounts, go to the Settings (gear icon on the bottom left) > General > Linked Accounts.
Click the "+ Link account" button and follow the Google or Outlook authentication.
### Step 2: Set your preferences
**Set your Inbox preferences**
Go to Settings > Inbox and select the inboxes you want to display in the Inbox module.
Also, set your default for composing new emails.
**Set your Calendar preferences**
Go to Settings > Calendar and select the calendars to display, the default for event creation, and the default for time blocking.
You can also set the color of your calendars using the overflow menu on the dropdown.
**Set your Time Blocking preferences**
Go to Settings > Time Blocking and select your default availability, visibility, and event duration.
If co-workers have access to view your calendar, we recommend setting your visibility as Private so they won't be able to see the names of your time-blocked tasks on your calendar, but will still be able to see the rest of your normal events as usual.
### Step 3: Turn on your Intelligent Inbox
Go back to Settings > Inbox and go down to the section called Intelligent Inbox.
Intelligent Inbox is a feature that uses AI to label your emails, filter them based on priority, and enables the Briefings feature, allowing you to bulk process your emails.
By default, Intelligent Inbox is disabled, so you can individually select which accounts to enable it for.
**Set your auto-archiving preference**
There's a feature called Briefing preference in the Settings, which allows you to turn on and off "Archive non-important".
When the toggle is on, Flow will automatically archive any emails that are not considered important, saving them for your Briefing. This keeps your Inbox focused and eliminates distractions.
When the toggle is off, Flow will only label them and will not automatically archive any emails.
**Set your briefing schedule**
Set the days and times when Flow will send you a reminder email that your briefing is ready. The goal of Briefings is for you to process your emails in bulk a few times a day, rather than constantly being distracted by new emails that can wait.
Although the Briefing Schedule provides email reminders a few times a day, the actual Briefing view always displays new emails in real-time. \
\
This means that, between reminders, you can always see and take action on all your new emails without waiting for the next reminder.
